Information We Collect

Account Information

When you register for an account, we collect your name, email address, and any other information you provide during signup. If you subscribe to a paid plan, billing details are collected by our payment processor (see below) - we do not store your full card number.

Staff Directory Data

You may upload information about staff members (names, roles, photos, contact details, etc.) to create your directory. You are responsible for ensuring you have the appropriate consent to collect, store, and publish this information.

Usage Data

We automatically collect information about how you use the Service, including IP addresses, browser type, pages visited, time and date of visits, and referring URLs. This data is collected to help us understand and improve the Service.

Cookies and Analytics

We use Clicky (getclicky.com) to collect analytics data about visitors to our marketing website. Clicky uses cookies and may collect IP addresses and usage data. Clicky’s privacy policy is available at getclicky.com/terms. You can opt out of Clicky tracking at getclicky.com/optout.

We use session cookies to keep you logged in to your account dashboard.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process payments and manage your subscription
  • Send transactional emails (account confirmation, billing receipts, password resets)

Third-Party Services

We share data with the following third-party services to operate the Service:

  • Stripe - payment processing. When you purchase a subscription, your payment details are submitted directly to Stripe, Inc. Stripe’s privacy policy is available at stripe.com/privacy. We receive only a payment confirmation and basic billing details (last 4 digits, card type, expiry).
  • Clicky - website analytics on our marketing site. See above.
  • Cloudflare - infrastructure, CDN, and DDoS protection. Cloudflare processes requests made to our website and application.

Data Storage and Security

Your data is stored on servers located within the United States and/or Australia depending on the service provider. We take reasonable technical and organisational measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction.

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

Data Retention

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal information within 30 days, except where we are required to retain it for legal or compliance purposes (such as billing records).

Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Complain about a breach of your privacy

Children’s Privacy

EmbedStaff processes information about staff members only. The Service is not designed to collect, store, or process information about students or other minors.

The Service is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a revised “Last updated” date. Continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
